Who controls the information

The business that creates a FieldProof workspace controls its customer, vehicle, job and evidence information. HiWestWork operates FieldProof and acts as its service provider. Account and billing information is controlled by HiWestWork for operating the service.

Information we process

We process account names and email addresses; business and location details; customer contact information; vehicle identifiers and service notes; photographs, damage annotations, signatures and timestamps; device, synchronization and security logs; and subscription and payment status. Payment card details are processed by Stripe and are not stored by FieldProof.

How information is used

We use information to authenticate users, synchronize field work, preserve evidence, create and deliver reports, process subscriptions, prevent misuse, provide support and improve reliability. We do not sell personal information or use customer vehicle evidence for advertising.

Service providers and transfers

FieldProof uses contracted infrastructure, authentication, storage, email and payment providers. Information may be processed in Canada or the United States with contractual and technical safeguards appropriate to the service.

Retention and deletion

Workspace owners choose the applicable evidence-retention period. When an account is scheduled for deletion, access is restricted and information is deleted after the recovery period, except where retention is required for security, billing, legal obligations or an unresolved dispute. Immutable reports may be retained by the business as business records.

Your choices

Users can update account information and initiate account deletion from account settings. Customers documented by a FieldProof business should first contact that business. Requests may also be sent to privacy@hiwestwork.com.

Security and updates

We use access controls, encryption in transit, tenant isolation and audit records. No system is completely secure. We will update this policy when our practices materially change and show the new effective date.
